Collax Communication

The Collax Communication module provides all digital communication functions an organization may require: E-Mail, fax, SMS, and instant messaging.

The importance of E-Mail does not need to be stressed. It has now taken over from the telephone therefore a reliable E-Mail solution is vital for all modern company. The Collax Communication module provides a complete E-Mail server that can be used in any environments, regardless of the presence of an existing E-Mail program.

Direct transmission or reception of fax messages on the workstation reduces time and costs. In addition to the convenient fax functionality from the workstation, the Collax Communication module also enables the transmission of SMS. With a simple E-Mail, SMS can be sent to any mobile phone. Also way to cut your costs (a cheap email server and more) and a real alternative to Microsoft.

This module forms the backbone of any company and takes communication to another level. Usually people just think about E-Mail, but Collax gives you company wide integrated Fax, SMS and instant messaging on top.

Instant messaging is widely used today and it may be asked why provide it in a module when it is fully available on the internet. The Collax instant messaging function is not only provider independent, but you also have the ability to fully encrypt it too.

All these functions make the Collax Communication Server module a primary must have for all companies. Also way to cut your costs (a cheap email server and more) and a real alternative to Microsoft.

Flexible deployment in all environments: you can use either a fixed IP address or a dynamic IP address and handle your mail via a provider. The Collax Communication Server module is capable of receiving E-Mail by means of its own MX entry in the global DNS (SMTP) or by retrieving E-Mail from a provider (POP3, IMAP, also multidrop and SSL-encrypted). Likewise, outgoing E-Mail can be sent directly or be relayed via the provider.

The Collax Communication Server module supports the connection of all common mail programs: Outlook, Outlook Express, Vistas Mail, Thunderbird, Entourage, Evolution, ...

The integrated Web mailer enables quick and easy access to your E-Mail using a browser from any location and without any time-consuming installation. The application is equipped with an address book and a calendar.

The Collax Communication Server module supports server-based rules known as SIEVE rules. With these filters, incoming E-Mail can automatically be forwarded, returned, or pre-sorted. All users can store custom rules on the server. For example, they can set up a vacation notification. The main advantage of executing such function on the server is that these rules will be applied to incoming E-Mail even after the E-Mail program has been terminated.

For the administrator, there are additional options for filtering E-Mail. To block dangerous or sensitive contents from being communicated by E-Mail, E-Mail messages with certain attachments or header entries can be filtered (header filter, MIME and extension filter).

HELO client identification can be used to check whether the sending mail server uses standard-compliant identification and has a DNS entry.

Malicious headers can cause problems for some mail programs. The Collax Communication Server module corrects all faulty headers.

An extensive analysis allows the allocation and reduction of costs, optimization of the mail traffic, and identification of vulnerabilities.

A clearly identified sender is much more trustworthy. Thus, certificates can be requested for incoming and outgoing E-Mail and can be produced for authentication purposes upon request.

For protection against unauthorized disclosure, the entire mail traffic can be SSL-encrypted. This can be done via TLS or the SSL variant of the protocol used (POP3S, IMAPS).

All common protocols for sending and receiving E-Mail are made available: POP3 and IMAP as well as Multidrop, SMTP, SMTP Auth, and ETRN.

In large corporations or for improved structuring, multiple domains can be set up.

Mixed operation: Apart from direct delivery via SMTP, it is also possible to fetch entire mail domains and individual mailboxes at the same time.

All mailboxes can be backed up regularly.

To reduce the cost of unnecessary dial-up connections, retrieval intervals can be determined freely.

A single mail address can be assigned to an entire group (distribution list); each user can be assigned additional mail addresses (aliases).

The mailbox size can be limited for the individual users (mail quotas).

Selected users can be limited to participation in the internal mail traffic.

The Mail2Fax, Fax2Mail, and Mail2SMS functions enable the transmission and reception of fax messages by E-Mail and the transmission of SMS messages by E-Mail. The content of the E-Mail or its attachment is sent by fax.

Alternatively, fax messages can be sent from any Windows application by means of the print function. For this purpose, the system uses a special fax printer that asks for the number of the recipient when the print function is invoked. Subsequently, the fax is sent.

Fax messages can be forwarded to the users in PDF, PS, or TIFF format or in the form of a notification with a download link for the fax message.

Status messages by E-Mail make sure that a user is always informed about the transmission status of his fax.

Fax messages received on different fax numbers (MSNs) can be forwarded to different users.

Spam protection for fax messages: Fax messages can be filtered by entries in the fax header.

By means of the group permissions, the users who are entitled to send faxes and SMS can be defined precisely.

Regular backups can be configured for sent and received fax messages.

An extensive analysis allows the allocation and reduction of costs, optimization of the fax traffic, and identification of vulnerabilities.

Fax messages can be sent and received over several ISDN channels at the same time.

This module features a Server for the Instant Messaging protocol Jabber. It offers a Proxy for IM-services AIM, ICQ, MSN and Yahoo. Furthermore it supports all the usual IM programs on all the usual operating systems.
